The Professional Bar and Restaurant School
“Mavim has been the key to auditing success” says Tasha Jeffries from The Professional Bar & Restaurant School
Overview
The Professional Bar & Restaurant School: This Private Training Organisation has been providing NZQA approved training for the hospitality sector since 2004.
Situation prior to Mavim
An audit cycle was coming up and the School needed to present a robust, easily accessibly Quality Management System. An IT person introduced the School to Mavim, and after investigating its potential and researching other international users, the School chose to implement Mavim in their business. Once the business decision was made, the time taken from initial installation to entering information into the system was less than one week! No complicated set-ups or long involved training processes were required.
Introduction of Mavim to the business
On taking receipt of Mavim, Tasha was assigned the task of transferring all existing Quality Management material onto the Mavim software. Tasha reflects that she quickly found her way around Mavim, and she believes that over the past 6 months, her hands-on practical knowledge of the system has graduated her to a ‘master user’ level.
Outcome from using Mavim
“Our goal was to be moved from a two year auditing cycle onto a three year auditing cycle. This is almost unheard of for a reasonably new training provider, so we knew that we were being quite ambitious. But with Mavim on board, we knew it was possible” said Tasha.
“When the auditor arrived he was immediately impressed with our Mavim based Quality Management System, and commented on how user-friendly and easy-to-use it was. He spent time at both our Auckland and Wellington sites and would have spent at least one full day using Mavim. At the end of this period, we received the good news that we were on a 3 year auditing cycle.”
Other benefits
In addition to the obvious auditing advantages, by moving all documents and processes over to Mavim, our tutorial staff can find all the teaching resources they need by using the ‘search’ facility. In addition our administration staff are finding it useful for their day to day roles.
Direct cost savings and future considerations
An audit costs approximately $10,000, so by moving from a 2 year to a 3 year cycle, we are making considerable cost savings.
“In addition, I can see us allowing students limited access, and adding more and more teaching resources and training materials into the system” says Tasha.
